Confidentiality

Confidentiality is essential for many of my clients. I take it very seriously and implement the necessary measures to safeguard the information I handle. I am also always willing to sign any confidentiality agreements my clients deem appropriate.

Specifically, I guarantee that I will always take the following confidentiality precautions:

• I undertake to use all information received from the client—whether on paper or in electronic form—exclusively for the purpose of the translation, and I commit to maintaining the strictest confidentiality with respect to such information. Under no circumstances will I reproduce, alter, publish, or disclose this information without the client’s prior written consent.

• I never subcontract work and personally handle 100% of the translation, revision, IT processing, formatting, and project management.

• I never disclose my clients’ names unless they have explicitly authorised me to do so (see examples of clients who have given permission). My clients value discretion, and I respect that.

• I have made a habit of always taking the following security measures in my work:

  • When disposing of a hard drive or any data storage device, I first perform a factory reset (equivalent to the old low-level format for hard drives).

  • I access email exclusively via a high-security connection: TLS 1.2, 128-bit.

  • I never print paper copies of client documents, thereby eliminating unnecessary exposure risks.

• If the client wishes, once the translation has been delivered I can erase their files immediately using software compliant with the US DoD 5220.22-M data erasure standard.

• Legal exceptions. Notwithstanding the above, I reserve the right to disclose my work in response to an official request from the police, courts, or government agencies, and where necessary to defend myself in legal proceedings.

Commitment to professional codes of ethics

I publicly commit to the following translators’ professional codes of ethics, which include confidentiality provisions:

• ProZ Certified PRO Guidelines: treat all sensitive information as confidential and take measures to protect that confidentiality.

• American Translators Association (ATA): Article 2 — respect the confidentiality and privacy of information obtained in the course of our work.
